IFFO Job vacancy: Operations Manager

Place of work: Normally required to work from home, with occasional face to face meetings in London. There is some required travel in relation to events management of around 1-3 weeks per year, and not more than 2 weeks per event.

Hours of Work: 37.5 hours per week from 9am to 5pm, Monday to Friday with 30-minute unpaid break each day.

Annual leave: 20 days, with an additional day’s holiday for each competed year of service, up to a maximum of 25 days.

Contributory pension scheme: Auto enrolled to a contributory scheme.

Main purpose of the job: Support the operations of IFFO in all aspects.

Salary: From 33K to 36K According to experience

Reports to: Operations Lead

Liaison with: Members of the IFFO management team, the IFFO China representative office, external suppliers, accountants, IFFO members, potential members, delegates for annual conferences, and third party service providers. 

Membership/ Operations

  1. Develop AI management tools to improve operative functions, such as for the events
  2. Membership management / Administration: Maintaining membership database and users for the members’ area of www.iffo.com and IFFO’s document protection software.
  3. Maintaining CRMs, databases, and website pages.
  4. Oversee the compliance with Employment and Health and Safety Regulations (training will be provided).
  5. Invoicing and follow-up of members and follow-up of debtors in coordination with IFFO’s bookkeeper.
  6. Respond to enquiries relating to membership, and process membership applications and cancellations. 
  7. Coordinate and distribute news, flash alerts and other communications to members.

Events / Operations

  1.  Assist the Operations Lead in the preparation of events, including venue, suppliers, logistics, online meeting space, contracts, and PCO contact etc.

Skills required:

Essential

  • Education Level: Bachelor’s degree
  • Excellent numeracy skills
  • Proven experience working with a CRM platform and managing CRM operations
  • Highly organised with an outstanding attention to detail
  • Hands-on attitude
  • Strong interpersonal skills
  • Experience with Microsoft Office suite and project management skills
  • Fluent in English, with good knowledge of Spanish 
  • High level of customer service skills
  • Experience with resolving IT and telecoms issues 

Desirable :

  • Event Management experience
